Management control for SMEs

You know your revenue. Do you know where you actually make money?

Many SMEs only find out how the year went when the annual accounts are closed months later. ControllingHub builds the management control you need to know it every month, without hiring a full-time controller. And it helps your team use artificial intelligence, starting with Claude AI, in everyday work.

Sound familiar?

These are not accounting problems. They are information problems: the data is already there, but nobody turns it into something you can decide on.

01

Margins are a mystery

You know revenue by customer, but not what you actually keep by product, job or location. Pricing decisions are made on gut feeling.

02

No budget, or one nobody uses

If there is a budget, it is a file made in January that nobody compares with actuals any more. Variances surface at year end.

03

Inventory is a black box

High book value, unknown turnover, slow-moving stock never measured. And every stock count brings surprises.

04

Reports built by hand every month

Someone in accounting spends three days pasting cells. Every month. With all the risk of error that comes with it.

05

The new ERP doesn't give you the numbers

You changed ERP and reporting got worse, not better. The data is in there, but it doesn't come out in the shape you need.

06

The bank or a partner wants data

You need reliable management figures for a credit line, an investor or a due diligence, and nobody in the company produces them.

What we do

Four areas. We usually start with one and extend once the value is clear.

Management control and margins

  • Monthly management P&L, by business unit or product line
  • Margin analysis by product, customer, job
  • Product costing: bills of materials, routings, hourly rates, make or buy
  • Management KPIs and an owner dashboard

Budget and forecast

  • A budget model built on your data, not on a template
  • Rolling forecast and variance analysis
  • Payroll and overhead budgeting
  • Business plans and investment business cases

Reporting and business intelligence

  • Automating the reports you build by hand today
  • Power BI, Power Query, direct database extracts
  • AI tools to analyse large extracts in a few hours
  • Sales, purchasing, inventory and working capital dashboards
  • Reconciling operational data with the P&L

Inventory and ERP data

  • Turnover, slow-moving and write-down analysis
  • Valuation and weighted average cost checks
  • ERP migration support and master data clean-up
  • Reconciliation checks between modules and the ledger

Claude AI in everyday work

AI is not just for big projects. Used well, it takes hours of repetitive work off the people in accounting, control and management who spend their days on files, emails and reports. We help you bring Claude AI into your team's daily work, with clear rules and measurable results.

01

Analysis and numbers

  • Reading Excel and CSV extracts with thousands of rows
  • First reconciliations, anomalies and variances in minutes
  • Commentary on monthly reports and variances against budget
  • Formulas, Power Query and macros written and explained
02

Documents and communication

  • Drafts of emails, reports and notes for owners or the bank
  • Summaries of contracts, minutes and long documents
  • Internal procedures and operating manuals written quickly
  • Translations for foreign subsidiaries, customers and suppliers
03

Rollout and coaching

  • Picking the use cases that save the most time
  • Ready-made prompts and templates for your recurring tasks
  • Rules on which data to share and which not to
  • Hands-on training on real work, not in a classroom

We use Anthropic's Claude AI ourselves every day, and the use cases we propose come from that experience. Every AI-produced result is checked by a person before it reaches you or the people you work with.

Ways to work together

We almost always start with the check-up: it costs little, takes a few weeks and tells you, with numbers in hand, whether and where it is worth acting. All prices exclude VAT.

one-off · 2–3 weeks

Check-up

A diagnosis of your management control: what is there, what is missing, what to do first.

  • Review of the data and tools already in use
  • Written report with the top three priorities and an effort estimate
  • Two meetings, kick-off and wrap-up
  • The fee is credited if you go on with a project

Management control set-up

From no management data to a system that runs on its own, with the people who will use it ready to do so.

  • A working monthly management P&L
  • First margin indicators on the areas that matter
  • Automated recurring reports
  • Documented tools that stay yours
  • No commitment beyond the four months

Targeted project

When the problem is already well defined and needs solving, not a full set-up from scratch.

  • Product costing and margin analysis
  • Budget or forecast for the year
  • Inventory, turnover and slow-moving analysis
  • Automating a hand-built report
  • Rebuilding reporting after an ERP change
  • Bringing Claude AI into the team's daily work

Ongoing support — €700 per month

After the project, eight hours a month to keep the system alive: management close, variance analysis, a call to walk the owners through the numbers. Cancel with one month's notice.

Work outside the packages — €80 per hour

For one-off requests or scopes not yet defined. If the work becomes recurring, it makes sense for both of us to move it into one of the plans above.

How we work

No corporate presentations. We get into the data from week one.

Week 1

Snapshot

We look together at what already exists: ERP, files, reports, procedures. And at what is missing to answer the owners' questions.

Weeks 2–4

First useful number

We pick the most urgent question and give it a measured answer. It tests data quality before we build on it.

Months 2–3

Build

Management P&L, margins, automation of recurring reports. Every tool is delivered working and explained.

Month 4

Handover

The people who will use the tools learn how. The goal is that you can carry on without us.

About us

A lean, senior team. The person who works on your numbers is the person accountable to you: no rotating junior staff, no handovers halfway through a project.

We are management control specialists with twenty years of experience in industrial controlling: cost accounting, product costing, inventory, consolidation of groups with foreign subsidiaries, reporting to owners and investors.

We do the job of an in-house controller, from the outside. We build management control where it does not exist and fix it where it exists but nobody uses it. We support companies through ERP changes, from data migration to rebuilding the reporting that stops working after go-live.

We bring the same approach, slimmed down, to much smaller businesses: restaurants, events, services. There the constraint is not data complexity but the time of the people who will use it, and the tools are built accordingly.

A large part of our work today runs through AI tools, Claude AI first among them, used where they make a difference: we read accounting extracts with tens of thousands of rows in a few hours, write queries and automations, and find anomalies and reconciliation gaps that would take days by hand.

Frequently asked questions

We're small. Does this make sense for us?

Below one million in revenue, much less than 30 hours a month is often enough: you can start with a smaller scope and a proportionate commitment. The right question is not how much you sell, but whether you know today where you are making money.

Do you replace our accountant?

No, and that is not the goal. Statutory accounts, accounting standards, compliance and tax stay with your adviser: they are not our field and we do not handle them. We work on the management side, on what you need to make decisions. The two sides talk to each other, and working with your accountant is welcome.

Do you use artificial intelligence?

Yes, mainly Claude AI, where it saves time without giving up control: analysing very large accounting extracts, writing queries and automations, finding anomalies and reconciliation gaps. Every number we deliver is still checked and reconciled by hand against your sources. AI speeds up the work; it does not sign off the conclusions.

Can you help us use Claude AI in-house?

Yes. Together we identify the repetitive tasks where AI saves the most time, prepare tailored prompts and templates, and coach your people on real work until they are self-sufficient. We also set simple rules on which data to share, so you can use AI without putting confidentiality at risk.

Do you work on site or remotely?

Mostly remotely, which is what keeps costs low. On-site meetings are concentrated at the start and at key milestones. For companies in the Brescia area, on-site presence is easier to arrange.

Do we need to buy software?

Hardly ever. In most cases we work with what you already have: your ERP, Excel and the Microsoft tools you are licensed for. If anything else is needed we say so upfront, with costs made clear.

Our data is confidential.

We sign a non-disclosure agreement before receiving any file. Data stays on your systems whenever that is technically possible.

What happens after the four months?

You decide. Some continue with a smaller monthly commitment to keep the system alive, some run it in-house, some start a new project in another area. No automatic renewal.
